In September 2025, people in the Netherlands searched for “n8n” an average of 9,900 times per month. In June 2026, that figure was 40,500. Last month it was 33,100. Growth of more than 230 per cent since September 2025.

Yet type in that term and almost everything you find is in English. There is little Dutch-language explanation that goes beyond “automation is useful”. Meanwhile, Dutch business owners are asking the question that really matters: what can this do for my business, and what will it cost me if I get it wrong?
This article answers both questions, with the drawbacks included and without the hype.
What exactly is n8n?
n8n is a workflow automation platform that connects separate systems without requiring a custom application for every integration. You draw a flow: where it starts, what happens and where it ends. From that point on, the flow runs automatically, at night, at weekends and while you are on holiday.
The name is pronounced n-eight-n, short for nodemation. Each step in a flow is called a node. A complete run through your flow is an execution. Remember that last word: it affects your bill.

You decide where the n8n installation runs. Connected AI, CRM, email and other services may process data elsewhere. A European server therefore does not automatically make the entire chain European. Read more about self-hosting and data flows.
What can you actually do with it?
The shortest answer: anything that currently has you retyping information between two screens. Here are some examples we often see in Dutch small and medium-sized businesses:
- Lead follow-up. Form received → find or create the customer in the CRM → personalised reply within a minute → a task for you with the relevant context.
- Invoice and receipt processing. Supplier invoice arrives in the inbox → extract the fields → enter it in your accounting software → set exceptions aside for review.
- Quote follow-up. No reply after five working days → an automatic reminder in your tone of voice → an immediate notification when a reply arrives.
- Keeping systems in sync. Your online shop, inventory and accounting reflect each other’s changes instead of relying on you to pass them on.
- Weekly reporting. Figures from four sources arrive in one report in your inbox every Monday at 07:00.
- AI agents. An assistant reads incoming email, categorises it and prepares a draft, with you providing the final check.
Each task may seem ordinary. Together, they can easily take up half a working day every week. And that half-day always comes out of your time, rather than somebody else’s whom you can hire to do it.
Work through the numbers
Two hours of retyping each week, at an internal hourly rate of €60, adds up to approximately 104 hours and €6,240 per year. For three people doing the same work, that is €18,720. This cost does not appear on an invoice, which is exactly why it goes unnoticed.

Why is n8n growing so quickly?
There are three reasons, and they reinforce one another.
1. The billing unit has become fairer for complex flows
Compare the actual billing units. Paid n8n plans charge by workflow executions. For Zaps, Zapier counts billable actions; for Agents, it uses activities. Make charges credits, with consumption varying by module, AI usage and connection type. Not every step automatically equals one paid unit.
More steps and higher volumes can change costs, but they do not guarantee savings. Compare licences, infrastructure, management and operational usage for the same scope. See the current n8n plans, Zapier task counting and Make credits.
2. AI became a building block rather than a separate product
n8n includes AI agents, memory and vector search. That means a language model can simply be a step in your flow, with a check before it and an approval point afterwards. Exactly what you want when the result is an email to a customer with your name underneath.
3. Data requirements became practical business questions
Self-hosting helps you describe your own infrastructure. For a complete answer, you also need to map connected suppliers, processing and administrative access.
Where n8n can disappoint you
Three things you will not see in a demo:
- Self-hosting means taking responsibility. Updates, backups, monitoring and security are now yours to manage. If your server is down, your invoicing flow is down too.
- Fewer ready-made integrations. Zapier has thousands of connectors; n8n has hundreds, plus an HTTP node for building the rest yourself. That is more powerful, but it can take an hour instead of a click.
- The learning curve is in the thinking, not the buttons. Drawing a flow is easy. Working out what should happen when the API does not respond, an amount is negative or the same lead arrives twice is where the work lies.
We would rather say this upfront: if nobody in your business wants that responsibility, make a deliberate choice to use a managed service or a hosted version. Poorly maintained automation costs more than no automation.
When is n8n the right choice, and when is it not?

| Situation | Is n8n suitable? | Why |
|---|---|---|
| You connect several systems using multiple steps and logic | Yes | Compare costs and management across the entire scope; more steps do not guarantee savings |
| You process personal data or customer records | Yes | You choose the n8n infrastructure; the locations and roles of all connected services are documented separately |
| You want to use AI while controlling what goes out | Yes | AI steps with approval and logging are built in |
| You need only one simple integration | No | A ready-made cloud service may be suitable and cheaper here |
| Nobody can or wants to manage a server | Partly | Choose cloud or external management, rather than self-hosting without a plan |
| Your process is not yet settled | No, not yet | Automating a disorganised process only produces disorder faster |
When n8n fits. The last row is the most frequently ignored, and the most expensive.
That last row deserves emphasis. The most common mistake is automating a process that does not yet work properly. Automation amplifies what is already there. If the sequence is right, you gain hours. If it is wrong, you produce the same mistake faster and more often. That is why how we work always begins with analysis before building.
What does it cost to get started?
Budget for all the cost categories together:
- Licence: choose the appropriate n8n edition and check its terms of use. Community Edition and paid cloud or self-hosted features have different terms. Consult the current n8n pricing.
- Infrastructure and usage: budget for hosting, storage, backups and external API or AI costs based on capacity and data flows.
- Building and management: the build, fixed maintenance, human triage and additional work are separate agreements. Maintenance starts at €250 per month, excluding VAT and external costs. Self-management remains an option.
Costs and the simple payback period depend on assumptions about time saved, remaining work and all ongoing costs. See the worked calculation scenarios and our pricing and package limits.
Where do you start?
Start with the work. Three questions you can answer at your kitchen table tonight:
- Which task are you doing for the third time this week in exactly the same way?
- Which mistake most often costs you money or damages your credibility with a customer?
- Which step leaves a customer or colleague waiting longest?
Answer those three honestly and you have found your first flow. The choice of tool follows, and sometimes it will not be n8n. We will tell you that too.
Three flows you can look at today
Automation remains abstract until you see a flow up close. The official n8n template library currently contains more than nine thousand working workflows that you can open, explore and import for free. Below are three that are particularly relevant to Dutch small and medium-sized businesses, with the caveats included.
FLOW 01
Automatically extract and post supplier invoices
Who it is for: accounting firms, wholesalers and anyone handling more than twenty supplier invoices per month.
Scroll the diagram sideways to see everything.
What it delivers: instead of spending two minutes retyping each invoice, you only review the exceptions. At one hundred invoices per month, that can quickly save three hours.
Watch out: scans and photos of receipts are harder to process than digital PDFs. Expect a higher exception rate during the first quarter and always include a review step.

FLOW 02
A personalised reply to an incoming lead within a minute
Who it is for: consultancies, installation businesses and B2B service providers receiving enquiries through forms.
Scroll the diagram sideways to see everything.
What it delivers: response time drops from hours to seconds, a factor shown to affect your chances of qualifying a lead.
Watch out: let AI write the draft, not send it, particularly during the first few months. A first reply with the wrong tone costs you more than a slow one.

FLOW 03
Outstanding invoices that follow themselves up
Who it is for: anyone who puts off payment reminders because they feel awkward.
Scroll the diagram sideways to see everything.
What it delivers: customers pay sooner without you making an awkward phone call. For many small and medium-sized businesses, this flow has the shortest payback period because it brings cash in earlier as well as saving hours.
Watch out: tone matters. Build at least two versions: gentle for reliable payers and businesslike for habitual late payers. Keep one customer category outside the automatic process for manual handling.

A template is not a production system. These flows show the structure. The work lies in your exceptions, your systems and your error handling. Importing a template and putting it straight into production can leave you with a stalled flow within two weeks because of a case nobody considered. Use the templates as a map to guide the work.
What to arrange before going live
This list separates a demo from something your business can rely on. Every point has been learned the hard way at some point, though not necessarily by us.
- An Error Workflow can signal an error. Retries are configured separately, with limits, and only when repeating the action is safe. Persistent failures need an owner and a recovery route. Read the guide to preventing silent failures.
- Duplicate protection. If the same lead arrives twice, you do not want to send two emails. A unique identifier for each record prevents that.
- Logging. What happened, when, with what data and with what result? Without a log, you cannot demonstrate what happened or recover from it.
- Workflow backups. Your flows are business logic. Put them in version control, just like code.
- A limit on costs. If the flow includes an AI step, set a limit and an alert. Otherwise, a busy month can also become an expensive month.
What we would have wanted to know before we started
The first flow is never the problem. The fifteenth is, when nobody remembers which flow does what, who built it or why that particular step is there.
Give every flow a clear name, a short description in a note node and an owner from day one. That takes five minutes per flow and saves an afternoon of investigation later. We therefore include a handover document as standard, even if you do not need us afterwards.
Technical error handling and human incident follow-up are separate agreements. Fixed maintenance is separate from the 30 minutes of human triage per subscription period and from any included work hours. We discuss additional paid investigation or changes in advance. We correct a shortcoming attributable to us in the agreed work without additional labour charges or charges for our own AI usage; this does not use your included work hours. Self-management remains possible and does not limit existing rights relating to defects on delivery. See pricing and package limits and the maintenance terms.
Frequently asked questions
What is n8n, briefly?
n8n connects systems through visual workflows with triggers, actions and outcomes. You can run n8n on your chosen infrastructure. Connected AI, CRM, email and other services may process data elsewhere; self-hosting does not automatically make the entire chain local.
Is n8n free?
Community Edition is subject to the applicable n8n licences. Budget separately for infrastructure, management, external services and any paid features. The source code is available under the applicable n8n licences; this is not an unrestricted open-source licence. Before using it, hosting it for third parties, embedding it or reselling it, check which terms and any additional licence apply. See the n8n licence.
Is n8n open source?
Not according to the strict OSI definition. The source code is available under the applicable n8n licences; this is not an unrestricted open-source licence. Before using it, hosting it for third parties, embedding it or reselling it, check which terms and any additional licence apply. See the n8n licence.
What is the difference between n8n and Zapier?
Paid n8n plans charge by workflow executions. Zapier uses billable actions for Zaps and activities for Agents. A thousand runs with eight genuinely billable standard actions can mean eight thousand Zapier tasks; free steps and other products change that calculation. Self-hosted n8n also requires your own infrastructure, management and any applicable licences. Compare the full costs for your setup.
Do I need technical knowledge to use n8n?
Not for simple integrations. For a production environment, you do: the server, updates, backups, error handling and logging must be taken care of. That is usually where automation in small and medium-sized businesses runs into trouble, rather than in building the flow itself.
