Connect your systems without replacing them

API integration services make your programs exchange data by themselves: an order becomes an invoice, and a customer has the same number in your CRM and your accounting. I build those integrations in n8n, on your own server, with a log and an alert when something goes wrong.

Sound familiar?

Sound familiar?

  • Someone retypes the difference

Your CRM knows something your accounting does not. Every week someone fills that in by hand.

  • Two systems contradict each other

A different address in the CRM than in accounting, and nobody knows which one is right.

  • A standard integration that doesn't quite fit

It exists, but it does not know your exception. So you end up doing that bit yourself again.

How it runs

What an integration does, in six steps

The translation between two systems is the real work. The rest is making sure it keeps running.

  1. EventAn order, a new customer, a paid invoice.
  2. FetchThe data that belongs to that event.
  3. TranslateWhat one system calls a customer number, the other calls a relation code.
  4. WriteIn the right place, and only once.
  5. CheckDid the destination really receive it?
  6. Exceptionyou decideDeviation or outage: an alert in plain language.

Every system can be connected through one of four routes: an API, an export, the database or screen automation. Which route fits depends on what your system allows. How the four routes work.

What I connect most often

Three integrations that remove the most manual work

  • CRM and accounting

A customer you create in your CRM is in your accounting a minute later, with the same number. A paid invoice updates the status in your CRM.

  • Online shop, stock and shipping

An order lowers the stock, creates a shipping label and prepares the invoice. A return reverses the chain.

  • Forms, email and ERP

What comes in through a form or email lands in the right place in your ERP, with the attachment.

Proof

An integration that tells you when something is wrong

External client case · maintained since September 2026

WooCommerce and Exact Online, with customer group pricing

For web agency Mercabilis: 14 workflows on a dedicated server with Cloudflare in front. Orders go to Exact, products and prices go back to the shop, and every exception triggers an alert in plain language.

Own practice case, measured

985 of 1,136 submissions on the wrong list

Forms, Zoho CRM, bookings and email seemed to work. One form rejected every submission for 25 days without a single error message. Now the chain closes end to end and checks itself every day.

We build the web shop, but an integration with Exact is not our line of work. Our client works with separate prices for resellers, and that is where you get stuck with standard modules.

Stefan built the integration between WooCommerce and Exact: whoever logs in sees their own price, and Exact remains the only place where a price changes. He also maintains the server the integration runs on, with maintenance every month. If something goes wrong, I get an email I can simply read. With Cloudflare in front of it, the security is in good shape.

When an integration does not pay off

I would rather say no beforehand than sorry afterwards. I advise against an integration when:

  • the process still changes every month;
  • it is a few actions a week; that takes less time than the integration would ever earn back;
  • a system has no API, export or database and the screen keeps changing.

Frequently asked questions

About API integration services

What is an API integration?

An API integration is a connection through which two programs exchange data automatically, without anyone retyping anything. The API is the door a system opens; the integration decides what goes through it and when.

What does it cost to have an integration built?

That depends on the number of systems, whether they have a usable API and how many exceptions the process has. I work with a fixed price per clearly defined assignment; a quick win starts at €750.

Does it also work with my old system?

Often, yes. If your system has an API, an export or a database, it usually works in practice. Without those, screen automation is sometimes possible, with a check after every step. I check that in the free assessment.

Who owns the integration if we part ways?

You do. It runs in your environment, the workflows are exportable and the documentation and credentials stay with you. Another builder can take it over with the documentation, without starting again.
