Connect Zoho CRM to forms, bookings and email
Zoho CRM has a built-in node in n8n, and with it I connect forms, bookings and email to the CRM. This integration runs in production: at Holos33, mislabelled form submissions went from 985 of 1,136 to zero.

What you connect with Zoho CRM
- Website forms as a lead or contact, with the right source
- Bookings from Zoho Bookings to the CRM
- Create follow-up tasks automatically
- Contacts on the right mailing list in Listmonk or Brevo
- Pass deals on to Zoho Books or your accounting
How the integration works
The Zoho CRM node in n8n reads and writes leads, contacts and deals. Because there is no built-in Zoho CRM trigger, a workflow starts from a webhook of the form or from a workflow rule in Zoho. The integration uses the data centre of your Zoho account, for example the EU.
Facts about the Zoho CRM API
Checked on 2 November 2026 against the official documentation. Limits, prices and versions change; the source is listed per row.
| Fact | What the documentation says | Source |
|---|---|---|
| Authentication | OAuth 2.0 through the Zoho API Console. For an integration without user interaction: a Self Client, with scopes per module and the data centre of your account (accounts.zoho.eu for the EU). | Zoho CRM: Register a client |
| Token lifetime | Access token 1 hour. Refresh token unlimited until revoked. At most 10 access tokens per refresh token per 10 minutes. | Zoho CRM: Token validity |
| Rate limits | Credits per 24 hours per organisation: Free 5,000; Standard 50,000 plus 250 per user; Professional 50,000 plus 500; Enterprise 50,000 plus 1,000. HTTP 429 when exceeded. | Zoho CRM: API limits |
| Webhooks | Yes, through the Notification API (for example Leads.create). A channel expires after at most one week and has to be renewed. The message contains IDs, not full records. | Zoho CRM: Notification API |
| Test environment | A sandbox is only available in the Enterprise edition. | Zoho CRM: Enterprise |
| Version | API v8, with an OpenAPI specification. | Zoho CRM: What's new in v8 |
| API cost | Available in all editions, including Free. Higher credits per edition and per user licence. | Zoho CRM: API limits |
| n8n | Built-in Zoho CRM node with OAuth2 and data centre selection. No built-in trigger. | n8n documentation |
What you need on your side
- A Zoho administrator who can register a Self Client in the API Console with only the scopes the integration needs
- Knowing which data centre your account is in (EU or .com); it determines the endpoints
- A fixed source value per form or channel, so every lead stays traceable
- For a real sandbox the Enterprise edition; otherwise we test with marked test records
Where it often goes wrong, and how I prevent it
- Source: without a fixed source rule, nobody knows any more where a lead came from. At Holos33, 985 of the 1,136 submissions carried the wrong label.
- Duplicate leads: the same person through two forms becomes one contact, not two.
- API limits: Zoho counts API usage per edition. The integration is economical and alerts you when a limit comes into view.
- Data centre: an EU account uses different addresses than a .com account. I record that in advance.
In practice
At Holos33 I made forms, Zoho CRM, Bookings and email demonstrably close the loop: the source comes from one place, checks run both ways, and every submission that does not arrive triggers an alert. Read the case →
What it costs
I build a Zoho CRM integration as one scoped process for a fixed price, from €750. Maintenance and monitoring are a monthly fee: n8n management from €250 per month, server management €145 per server. In the free assessment we work out your process. All prices and what is included →
What I do not do
- I do not configure Zoho CRM itself (layouts, blueprints, roles); I connect to it.
- I do not write Deluge scripts inside Zoho when n8n can do the work; that keeps everything readable in one place.
- You buy and manage your Zoho licences yourself.
Frequently asked questions about connecting Zoho CRM
Does n8n have a Zoho CRM node?
Yes, a built-in Zoho CRM node. There is no built-in trigger, so a workflow starts through a webhook or a workflow rule in Zoho.
Does this work with Zoho One?
Yes. Zoho CRM, Books, Bookings, Desk and Sign can all be connected; for the parts without an n8n node, I use the Zoho API.
How do I know no lead gets lost?
Every submission is recorded and compared with what arrives in the CRM. If one is missing, you get an alert.
How many API calls does my Zoho edition allow per day?
Zoho works with credits per 24 hours: 5,000 in Free and 50,000 plus 250 to 1,000 per user in the paid editions. A normal call costs one credit. The integration works in batches and notifies you when usage runs high.
Can I test without touching my real CRM?
Zoho only offers a real sandbox in the Enterprise edition. In lower editions I test with clearly marked test records that are cleaned up after the test.
