Why AIAgentCycle · Why automate
Automate what you can no longer hire for
Automating business processes means software carries out an agreed series of steps, records the outcome and passes exceptions to a person. That matters more now that the labour market is tight or very tight in 87 of 93 occupational groups (UWV (Dutch Employee Insurance Agency), first quarter 2026).

What it means in practice
An ordinary Tuesday, when the work is already done
Concretely, at a company of twenty people. Digitising is doing the same work on a different screen. Automating is no longer doing the work yourself.
- 07:00A flow finds yesterday's quotes without a reply.
- 07:05Clients who have been quiet for four days get a reminder in your tone.
- 08:30your momentYou open your email and see three replies instead of an empty inbox.
- MondayAn overview of what is open, what came in and where things are stuck.
Every step records what happened. If information is missing or a system does not respond, only that case stops and the owner gets the reason.
Which process first?
Give each process a score from 0 to 12
Give each criterion 0, 1 or 2 points. A high score is a direction to explore, not a decision to invest.
Frequency
Occasional (0), weekly (1) or daily (2)?
Time
How many minutes does one complete handling take?
Rules
Can you explain the input, steps and outcome?
Error impact
Does a mistake cost rework, delay or money?
Owner
Can one person approve the rules and exceptions?
Measurable
Can you compare lead time and errors before and after?
If a process scores low on rules or owner, simplify it first. Without clear rules, you mainly automate confusion. The full step-by-step guide is in the knowledge base.
Worked example
What manual follow-up costs per year
- 10 quotesper week
- × 15 minutesfollow-up
- × 52 weeksper year
- ≈ 130 hoursabout €7,800 at €60 per hour
Example calculation, not a promise. For invoicing: 60 invoices per month × 6 minutes is about 72 hours per year. In the assessment I calculate with your numbers.
What it delivers
Why automate business processes: the difference shows on Monday
You no longer start the week catching up. A quote you forgot has been followed up anyway. And when a colleague leaves, the knowledge does not leave with them, because the steps are recorded somewhere.
The hours that come free go to the work you and your team are good at: the conversation with the client, the advice, the craft.
Which approach fits
Four routes, from simple to AI
Simplify first
When staff reach the same result through different steps. Agree on owner, input and limits first.
Fixed workflow or integration
With predictable input and clear rules. Usually easier to explain and cheaper than AI.
Software integration →AI with human review
When text, documents or questions vary, but a staff member can judge the outcome.
AI agents →Keep it manual
With low volume, exceptionally high impact or context that cannot be pulled from systems.
When automation does not pay off
Too little volume, a process that still changes every week, or data that needs cleaning up first: then I will tell you. Gartner expects more than 40% of agentic AI projects to be cancelled by the end of 2027 (forecast, June 2025), often because they started too big. That is why I build small and measurable, or advise you to:
- simplify the process first;
- get the source data in order first;
- build nothing yet, because it delivers less than it costs.
Frequently asked questions
About automation
What is the difference between automation and using AI?
Automation means having fixed rules carried out: if this, then that, the same every time. AI only comes in at a step that needs interpretation, such as understanding an email or reading a document. You start with automation and add AI where it is needed, with a person who checks.
What does automation mean for my staff?
The work shifts from entering and retyping data to checking and handling exceptions. Involve the people who do the repetitive work now in the assessment, because they know where it chafes. A staff member stays responsible for every step that affects a customer or a payment.
Is my business too small to automate?
Size says little; repetition says everything. A small team that follows up the same quotes and checks invoices every week often has more to gain than a large company with one exceptional process. You start with one process.
