Respond first, without living in your inbox

Professional services automation for service firms, agencies and recruiters: I automate what happens between an enquiry and the first conversation. Recording, assigning, confirming and following up. Quotes and timesheets through to invoicing as well. The conversation and the advice stay yours.

  • Almost 7×more likely to get a good conversation when you respond within an hour (HBR, 2011, research across 2,241 companies)
  • 37%of companies responded within an hour
  • 98 vacanciesper 100 unemployed in 2025 (CBS, Statistics Netherlands): recruiting stays manual work

Sound familiar?

Where revenue leaks away at service firms

  • Leads followed up too late

After hours or days, because everyone is busy with client work.

  • Quotes without a follow-up

Sent, and after that nobody hears anything.

  • Hours turned into an invoice by hand

Time tracking, checking, invoice. At the end of the month, when everyone is tired.

  • Screening until after midnight

For recruiters: going through CVs and summarising candidates, in the evening.

How it runs

From enquiry to first conversation

The first response goes out within minutes. You lead the conversation, just earlier than your competitor.

  1. Enquiry inWebsite, email, LinkedIn form or phone note.
  2. In your CRMWith source, owner and the right stage.
  3. ConfirmationPersonal, with name and context.
  4. The conversationyou decideYou call or schedule a meeting.
  5. Quote and follow-upA follow-up date and reminders until there is a decision.

When in doubt, such as a possible duplicate or an unclear enquiry, the owner gets a task instead of something going to the client automatically.

What I build

Professional services automation that saves time and wins work

One flow is a quick win, from €750. The full chain from form to meeting falls under CRM and lead funnel (€3,500 to €7,500). See the pricing page.

  • Lead follow-up within minutes

Every enquiry straight into your CRM, with a personal confirmation and a task for the owner.

    Leads and sales →
  • Quote follow-up sequence

Reminders and call moments until there is a decision, and the reason if the answer is no.

  • Timesheets to invoice

Recorded hours checked and prepared as an invoice in your accounting software.

  • Screening prepared

CVs and vacancies summarised and set side by side. The recruiter makes the choice.

Proof

Proof from practice

Own practice case, measured

985 of 1,136 submissions on the wrong list

Forms, Zoho CRM, bookings and email seemed to work. One form rejected every submission for 25 days without a single error message. Now the chain closes end to end and checks itself every day.

I want to understand how something fits together before I say yes. With Stefan, that conversation is possible. He knows what he is talking about, explains why he builds something the way he does and looks at how we work.

And then he comes up with just the piece I had not thought of myself. When I send a question, I get an answer quickly.

When I advise against it

Speed only helps when the basics are right. Start somewhere else if:

  • your team does not use the same stages in the CRM;
  • every enquiry needs custom work on the content straight away;
  • you get a few enquiries a month; then a fixed way of working is enough.

Frequently asked questions

What agencies ask me

Does automatic follow-up not feel impersonal?

The first response actually becomes more personal: on time, with the right name and context. You lead the real conversation, just earlier. Advice, pricing and custom work do not go out automatically.

Does this work with our CRM and ATS?

HubSpot, Pipedrive and Zoho CRM have a built-in n8n integration. Teamleader, Simplicate and most ATS systems I connect through their API. If a system has no API, we look in the assessment at what is possible.

Do I need to get my processes in order first?

No. You need to choose one process that comes up often enough. If the assessment shows that this process still changes every week, I will say so and we choose another one.

What if my team does not use it?

Then I built it wrong. A good flow changes little about how your team works: the groundwork is already done when they start. If a solution asks for a lot of new behaviour, I adjust the design.
