This period applies to the enquiry data stored on our website, the related follow-up task in our CRM and correspondence about that enquiry. If information is needed for an agreement, statutory records or a specific dispute, we retain only the necessary part for the applicable period. Becoming a client therefore does not automatically extend the retention period of every message.

For a quote or meeting needed to prepare an agreement with you at your request, we process the information necessary for those preparatory steps. For other questions and business contact persons, we rely on our legitimate interest in handling requested correspondence carefully. We limit processing to what is necessary and take your privacy interests into account. Submitting an enquiry does not constitute consent to marketing.

Newsletter and marketing emails. We only send the newsletter and other marketing emails with your consent. You give it yourself: with the box when you download a package, with the newsletter form on the site, or with the box when you request the assessment. The box is never ticked in advance. A download or assessment without a tick means: no newsletter. If you choose the newsletter with a download or the assessment, your sign-up only counts once you confirm it through the email we send you. Through the newsletter form you are signed up straight away, without a confirmation email; we then record when and through which form you signed up. If you sign up through the download box, you also get one email after 3 days to check the package works for you. We record when, how and with which text you gave consent, so we can show it. Every email has an unsubscribe link. You can withdraw your consent at any time; this does not affect earlier processing or your download or assessment.

Illustration of limiting data collection, processing and retention according to the agreed data route.
We collect only what is necessary, we limit access and retention, and we delete or return data along the agreed route.

Where your data is held

Request and client data is processed securely and, where possible, stored within the European Economic Area. For our own hosting, we use Contabo in Germany. For our business CRM and calendar service, we use Zoho One in its EU environment. This does not mean that all connected services, support or AI processing takes place exclusively within the EEA; the applicable transfers and safeguards are determined for each service and assignment. We use Google and Microsoft services for website analytics and, after marketing consent, advertising measurement. This may involve processing outside the EEA under appropriate safeguards, such as an adequacy decision and/or standard contractual clauses. See the Cookie Policy (EU) for the current providers and details.

Your rights

You have the right of access, rectification, erasure, restriction of processing, objection and data portability, and you may withdraw consent you have given at any time. Email info@aiagentcycle.com; we respond within one month. Not satisfied? You can lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).

Cookies

Functional cookies are always active. Google Analytics 4 loads only after consent to statistics; Microsoft UET and any future advertising tags load only after consent to marketing. You can refuse and later change your choice using the cookie banner’s consent-preferences button. See the Cookie policy for the current list, purposes and retention periods.
