Is your system not on the list?

Custom work where standard integrations stop

Many SMEs fall between two stools: too small for an integration firm, too specific for Zapier templates, and running software that has no API. That is exactly the work I do.

What I set up goes further than a single workflow. It is a management layer: your AI agent talks via MCP to the systems we connect, with permissions and logging per action. New integrations plug into it later.

How I handle custom work →
  • Your software has no API

Garage software, an old ERP, a supplier portal. I get the data out via exports, screen automation or the database, and set up the gateway so it keeps working.

  • The old system cannot go

Migrating is too expensive or too risky. Then I build around it: the software stays the source, and the automation does the work around it.

  • Three systems, three truths

Customer in the CRM, order in the web shop, invoice in the accounts. I set one source per data item and let the rest follow, with checks for discrepancies.

  • One management layer via MCP

An AI agent that carries out tasks in your systems, within the limits you set. Every action logged, every exception to a person.

Sound familiar?

Work that comes back every week and moves no one forward

  • Still typing up invoices in the evening

Payment reminders, retyping hours, systems that do not talk to each other.

  • Leads left waiting for days

And then buying from the competitor who did reply straight away.

  • Every growth spurt = more manual work

Orders, stock and customer questions pile up.

Recognise this? Then this is exactly the work I automate.

What it delivers

Real projects, honestly labelled

Client work I maintain and my own systems that I build. Each case says what it is: running at a client, in use, or still being built.

Numbers only appear here when they have been measured.

  • External client case · maintained since September 2026

Connecting a web shop to Exact Online without anyone losing sleep over it

    Starting point
a web agency wanted a WooCommerce-Exact integration for its client that the client owns and that speaks up when something goes wrong.
    Approach
own server, Cloudflare WAF and Zero Trust, self-hosted n8n, monitoring with plain-language alert e-mails.
    Next cycle
integration under maintenance, every deviation reported; follow-up measurement January 2027.

A custom backend that tracks everything from request to advice

    Starting point
Requests, intake, evidence and advice were scattered; advice is only as good as the data beneath it.
    Approach
Custom backend: priority queue, step-by-step intake, evidence, opportunities and business case, call mode and reports.
    Next cycle
Connect the jobs API to Tasks & errors; fill opportunities per case from the report.

  • Own build · running in simulation

BH28: an autonomous trading system that only trades when every check is green

    Starting point
A system that trades on its own must above all be good at saying no.
    Approach
Python core, 32 n8n workflows, PostgreSQL audit, a risk gate per order, ChatGPT and Claude without authority over orders.
    Next cycle
Show in simulation that the chain holds; only then a separate decision on a funded account.

  • Own product · final test phase

Holos33: a €250,000 app, designed together and built by me

    Starting point
An app that works with sleep, heart rate and journal entries has to earn trust before anyone installs it.
    Approach
Architecture with a freelance architect, design in Figma, built by me in Flutter and NestJS (278 endpoints), security reviewed by an external specialist, data and AI in the EU.
    Next cycle
Finish the final test phases, then measure usage; direct integrations with Garmin and Oura once those are available.

Holos33 · own product · iOS, Android, admin and CMS

  • Own practice case, measured · 4 September 2026

985 submissions on the wrong list. And nobody saw it.

    Starting point
985 of 1,136 form submissions carried the wrong origin label; one form rejected every submission for 25 days without a single error.
    Approach
Baseline first, two-sided gates, single-source origin, idempotent delivery into Zoho CRM, Bookings and Listmonk, dead-letter with alerting.
    Next cycle
Activate Turnstile, keep the daily watchdogs negatively tested, bring the next integrations under the same gates.

What clients say

In their own words

  • We build the web shop, but an integration with Exact is not our line of work. Our client works with separate prices for resellers, and that is where you get stuck with standard modules.

Stefan built the integration between WooCommerce and Exact: whoever logs in sees their own price, and Exact remains the only place where a price changes. He also maintains the server the integration runs on, with maintenance every month. If something goes wrong, I get an email I can simply read. With Cloudflare in front of it, the security is in good shape.

I can make my client a promise with peace of mind.

    Owner, Mercabilis (web agency)

Read the case about Mercabilis →
  • I want to understand how something fits together before I say yes. With Stefan, that conversation is possible. He knows what he is talking about, explains why he builds something the way he does and looks at how we work.

And then he comes up with just the piece I had not thought of myself. When I send a question, I get an answer quickly.

    Mike van Ekelenburg

    Mike van Ekelenburg

    Director, Greven

  • When it comes to our systems, Stefan is my sparring partner. How it should fit together and what is really needed. He first looks at how we work and finds the solution to match.

I keep control of my business myself and still have someone beside me who keeps the overview. A pleasant collaboration.

Connected

Your systems talk to each other, even when there is no API

I build the integration in n8n, in your environment, with your data. Via MCP your AI agent gets one secure point of access to all those systems, with permissions per action. The route is fixed before anything gets built.

All integrations and what MCP does for you →

Proven

Before the build, we agree what “works” means

Volume, time, errors and exceptions are measured and recorded as acceptance criteria. After the build I measure again. Numbers on this site only appear when they have been measured.

Monitored

You hear it from the system before your customer tells you

For every automation we agree which signals trigger an alert and a fault email in plain language. Monitoring, error handling and handover are part of maintenance, with public terms.

Maintenance as a subscription

Server maintenance, monitoring and follow-up from one maintenance process

I maintain your n8n environment and, with Server Maintenance, the server underneath. With automated checks, encrypted backups and planned maintenance, I keep an eye on the environment and follow up on deviations within service hours.

Packages per month: Server Maintenance €145 per server, Technical Maintenance €250, Maintenance with Included Work Hours €500 and Extended Maintenance €950. What is included is set out in your quote and the maintenance terms. A reachable server does not prove that your web shop works; where we agree on it, I also monitor the processes behind it.

  • Server maintenance

Updates and patches prepared, reviewed and carried out within a maintenance window, with a fallback plan where needed.

  • Monitoring

Reachability, service status, load, disk space and, where agreed, certificates, integrations and workflows.

  • Backups and restore

According to the agreed backup scope, encrypted on external storage and with periodic restore tests.

  • Alerts and follow-up

Deviations trigger an alert. Within service hours you get a first substantive response according to your package.

  • Security and prevention

Security updates, vulnerability assessment and checks of settings and access rights.

  • Monthly overview

A summary of work carried out, alerts and points for attention.

Suitable for web servers and web shops (including Magento 2), n8n environments, API and MCP services, and AI or data applications. Hosting, licences and project work are listed separately.

How it works

One process at a time, from scoping to maintenance

  1. Scope

Together we pick one process; I measure volume, time, errors and exceptions.

  2. Design

Normal route, exceptions, the human boundary and acceptance criteria are fixed in advance.

  3. Build

The simplest workflow, integration or agent that fits, tested with your examples.

  4. Maintain

Monitoring, error handling, handover and improvements keep it usable.

Price

What does it cost?

What does your biggest time drain cost?

10 quotes a week followed up by hand = ±130 hours a year = ±€7,800

Plus the jobs you lose because follow-up comes too late. Worked example, indicative; in the assessment we run your own numbers.

What it costs

Who builds this

An AI automation agency with one point of contact

I am Stefan de Graaf. For years I have been building production automations that are still running: Magento 2 ↔ Zoho Books, bol.com pipelines, RAG systems and AI agents, all self-hosted. You talk to the person who builds it.

For larger jobs I work with regular freelance specialists. I remain the builder and your point of contact; you do not get a junior or a go-between.

I come from healthcare and trained in behavioural psychology and NLP. Automation rarely fails on technology and often on people; that is why I also build the adoption: clear explanations, small steps, measurable results.

Frequently asked questions

The questions I get in every first conversation

Where is my data stored?

By default on a server in the EU that is in your name; in exceptional cases I set it up for you. Your n8n environment, your integrations and your data run there. Connected services, such as an AI model, may process data elsewhere; I record that per data flow. You decide who has access, and if you switch, you take your workflows and data with you.

Who owns the workflows?

You get a perpetual right of use for the workflows and the documentation, and the n8n environment runs on your server by default. You can export the workflows, have them changed or have someone else maintain them, so you are not tied to me. Generic components and third-party software keep their own licences.

What if an integration stops?

On the signals we agree on, you get an alert and a fault email in plain language: what went wrong, what it means and what you can do. If you have agreed maintenance, I pick it up within the agreed response time. The terms for this are public on this site.

Do you work alone?

I build it myself and I am your only point of contact. For larger jobs I bring in regular freelance specialists, but the design, the build and the contact stay with me. So you talk to the person who builds it.

What does it cost and what is included?

A fixed price per defined process, and a monthly fee for maintenance and monitoring. What is included and the price bands are on the pricing page. In the free assessment we work out what the process costs you now, so you can compare.

My software has no API. Is that possible?

Usually, yes. I get the data out via exports, screen automation or directly from the database. With maintenance I monitor the integration, so you notice when an update to the software changes something. We look at how that works for your software in the assessment.

Start with one process

In the assessment we choose the process, the exceptions and the expected value. You always get a short advice report, even if we do not continue.
