Moneybird API: connect Moneybird to your webshop, CRM and payments
Through the Moneybird API, which also supports webhooks, I create invoices, keep contacts in sync and register payments in Moneybird. n8n has no built-in Moneybird node, so the integration is custom work in n8n. The result: invoices, contacts and payments are in Moneybird without anyone retyping them.
CustomVia the API, custom-built
What you can do with the Moneybird API
- Create sales invoices from your webshop or CRM
- Keep contacts in sync with your CRM
- Match payments from Mollie or the bank to the right invoice
- Turn quotes from your CRM into an invoice
- Prepare purchase invoices from your email for processing
How the integration works
The integration uses the Moneybird API with a token for your administration. Where Moneybird reports an event through a webhook, the workflow starts straight away; otherwise it checks at fixed times. Every invoice gets a reference to its source, to prevent the same order from becoming an invoice twice.
Facts about the Moneybird API
Checked on 2 November 2026 against the official documentation. Limits, prices and versions change; the source is listed per row.
| Fact | What the documentation says | Source |
|---|---|---|
| Authentication | OAuth 2 or a personal API token as Bearer. A token gives access to the whole account, so I use scopes and a separate token per integration. | Moneybird: Authentication |
| Token lifetime | Tokens currently do not expire; Moneybird reserves the right to change that. Revoking is possible through the revoke endpoint. | Moneybird: Authentication |
| Rate limits | 150 requests per 5 minutes per IP address, and 50 per 5 minutes for the report endpoints. When exceeded, 429 with a Retry-After header. | Moneybird: Introduction |
| Webhooks | Yes, per administration, with events such as sales_invoice, contact and payment. The message contains the full entity and a Moneybird-Signature (HMAC-SHA256). A retry schedule is not in the documentation. | Moneybird: Webhooks |
| Test environment | Free sandbox administrations with all features; invoices get a watermark. | Moneybird: Introduction |
| Version | API v2 is the only available version, in JSON or XML. | Moneybird: Introduction |
| API cost | Unlimited within your subscription; the API is included in all four plans, from Compact. | Moneybird: Pricing |
| n8n | No built-in node; the only community node on npm dates from 2022. I connect through the API with an HTTP step. | n8n documentation |
What you need on your side
- A Moneybird administrator who can create an API token or OAuth app with limited scopes
- The VAT rates and ledger accounts per product or service, aligned with your accountant
- A sandbox administration to test the integration on first
- A fixed reference per order (for example the order number) that goes onto the invoice
Where it often goes wrong, and how I prevent it
- VAT and ledger: every item or service must land on the right VAT rate and the right ledger account. I agree that mapping in advance with you or your accountant.
- Duplicate invoices: a webhook can arrive twice. With a fixed reference per order, a second attempt is recognised and skipped.
- Rounding differences: webshop and accounts sometimes round differently. The integration checks the total and reports any difference.
- Multiple administrations: if you work with more than one administration, each administration gets its own route.
In practice
I use the same approach in my own webshop with Zoho Books: orders are booked automatically at the right VAT rate, and only exceptions go to a person.
What it costs
I build a Moneybird integration as one scoped process for a fixed price, from €750. Maintenance and monitoring are a monthly fee: n8n management from €250 per month, server management €145 per server. In the free assessment we work out your process. All prices and what is included →
What I do not do
- I do not do your bookkeeping; the VAT and ledger mapping comes from you or your accountant.
- I do not use a token with access to the whole account when a limited scope is enough.
- I do not trust the status in a webhook blindly; the integration fetches the current entity before it books anything.
Frequently asked questions about the Moneybird API
Does n8n have a Moneybird node?
No, not as an official built-in node. I connect Moneybird through the API in n8n. In daily use that makes no difference to you: it runs on your own server and is monitored.
Can Mollie payments be matched to the invoice automatically?
Yes. The integration fetches the payment, finds the matching invoice through the order reference and registers the payment. If that does not work, the payment goes on a list for manual checking.
Can my accountant be involved?
Gladly. We agree the VAT and ledger mapping in advance, so your accountant does not have to correct anything.
How many requests per minute does Moneybird allow?
150 per 5 minutes per IP address, and 50 per 5 minutes for reports. Above that Moneybird returns a 429 with a wait time. The integration tracks that counter and spreads large batches, for example during a catch-up run.
Can I test safely in Moneybird?
Yes. Moneybird offers free sandbox administrations with all features; invoices in them get a watermark. The integration runs there first, and only then on your real administration.
