Admin that keeps itself up to date, with you as the check

Invoice automation and accounts payable automation mean that invoices, reminders and booking proposals are ready automatically in the package you already use, such as Exact Online, Moneybird or AFAS. Anything that deviates comes to you, with the reason attached. Nothing is guessed.

Sound familiar?

The work that comes back every month

  • Retyping invoices

Copying data from the online shop, the CRM or a spreadsheet into your accounting. Every month again.

  • Reminders that go out late

Nobody enjoys chasing money, so it slips. Meanwhile your outstanding receivables keep rising.

  • Purchase invoices from the mailbox

Open, check, book and file. Exactly the work where a typo costs the most.

How it runs

How accounts payable automation handles a purchase invoice

A good flow has a fast route for the normal case and a safe way out for everything that deviates.

  1. Invoice inThrough the mailbox, Peppol or your supplier's API.
  2. ReadSupplier, amount, VAT and order number.
  3. CheckDoes the amount match the order? Is the supplier known?
  4. Booking proposalReady in your package, with the source attached.
  5. Approve if it deviatesyou decideDeviating amount or unknown supplier.
  6. Book and logRecorded, searchable and open to checks.

If an order number is missing or the amount deviates, the flow stops and you get one clear review task. Nothing disappears quietly into an error log. How this works in detail is in the article on automating purchase invoices.

What I build

Four flows that give back the most time

One clearly defined process is a quick win, from €750. See the pricing page for the rest.

  • Invoicing and reminders

From order data to invoice to a polite reminder, connected to Exact, Moneybird or AFAS.

    • Build time 2 to 3 days
    • ±72 hours a year back
  • Processing purchase invoices

Read, check and prepare a booking proposal. You only approve the exceptions.

    How it works →
  • Creating documents

Quotes, contracts and reports from your own templates, filled in and filed.

    • Build time 2 to 3 days
  • Preparing client files

Customer details from the KvK (Dutch Chamber of Commerce) register and your own systems, ready for a Wwft file (Dutch anti-money-laundering checks). The judgement stays with you.

    • Build time 4 to 6 days

Your package stays, the retyping goes

Exact Online runs in production with me. The other packages I connect through their API or a built-in n8n integration.

Proof

An integration that tells you when something is wrong

External client case · maintained since September 2026

WooCommerce and Exact Online, with customer group pricing

For web agency Mercabilis: 14 workflows on a dedicated server with Cloudflare in front. Orders go to Exact, products and prices go back to the shop, and every exception triggers an alert in plain language.

We build the web shop, but an integration with Exact is not our line of work. Our client works with separate prices for resellers, and that is where you get stuck with standard modules.

Stefan built the integration between WooCommerce and Exact: whoever logs in sees their own price, and Exact remains the only place where a price changes. He also maintains the server the integration runs on, with maintenance every month. If something goes wrong, I get an email I can simply read. With Cloudflare in front of it, the security is in good shape.

Worked example

What retyping invoices costs you per year

  1. 60 invoicesper month
  2. × 6 minutesper invoice
  3. × 12 monthsper year
  4. ≈ 72 hoursabout €4,300 at €60 an hour

Worked example, indicative. More important than the hours: no forgotten reminders and no typos. In the assessment I calculate with your volumes and your hourly rate.

When I would advise against it

Running a poor process faster mostly makes the problem visible sooner. I advise against it when:

  • the process still changes every week;
  • nobody can explain when something is right or wrong;
  • the volume is so low that checking it yourself stays quicker;
  • the source data is structurally incomplete and never gets corrected.

Frequently asked questions

About invoice automation

Do I need to replace my accounting package?

No. The automation connects to the package you already use, such as Exact Online, Moneybird or AFAS, through the integration that package itself offers. n8n runs alongside it as the link. Which package you have determines what can be connected.

Does this work if my bookkeeper or accountant does the books?

Yes, and often especially well then. The automation does the groundwork: collecting invoices, reading them, preparing them and sending reminders. Your bookkeeper keeps the checks, the closing and the advice.

Can I start with one step?

Yes, and I recommend it. You start with the flow that costs the most time or causes the most errors. That one first runs with checks for a period. Only then comes the next one.

Does it also work with e-invoices via Peppol?

Yes, if your package or your Peppol provider makes the invoices available through an API or export. How Peppol and e-invoicing fit together in the Netherlands and Belgium is explained in the knowledge base.
