Sound familiar?

Where an accounting firm's hours go

  • Chasing documents

Reminding clients about receipts, statements and invoices. By email, client by client, again and again.

  • A peak that gets higher every year

Tax returns and year-end closings arrive at the same time, and good people are hard to find.

  • Retyping between systems

Data from a portal, an email or an export entered into the software by hand.

  • Client files that keep growing

Collecting client data for Wwft (Dutch anti-money laundering act) checks and onboarding, without anyone keeping the overview.

How it runs

Document chasing, without anyone having to chase

The client gets a clear request on time. You see per client what has come in and what is still missing.

  1. Period startsA month, quarter or year begins.
  2. Request to the clientWith a list of what is needed.
  3. ReminderNot everything in yet? After an agreed period, a friendly reminder.
  4. Receive and sortDocuments in the right client file, with date and source.
  5. Reviewyou decideThe staff member looks at the content.
  6. Overview per clientWhat is in, what is missing, who needs to act.

Complete and valid files can move on. Missing data, exceptions and professional judgements stay with a staff member.

What I build

Accounting firm automation for the flows that matter at peak time

One scoped process is a quick win, from €750. Build time is usually one to five days per flow. See the pricing page.

  • Requesting and chasing documents

A request per client and per period, reminders on schedule and an overview of what is missing.

  • Processing purchase invoices

Read, checked and a booking proposal in the accounting software. The staff member only approves the exceptions.

Client data in your own environment

n8n runs in an EU environment that belongs to the firm, with a data processing agreement. Every external service involved, such as an AI model, I record in advance: which data goes there, where it is processed and how long it is kept.

For sensitive documents, an open AI model can run on a server of your own, so client data does not leave the firm. How the AI Act and the GDPR come into this is explained in the article on AI, GDPR and your own data.

When I advise against it

Not every firm benefits from this right now. Start somewhere else if:

  • your clients already deliver their documents through one portal and that works well;
  • the firm is about to switch to other accounting software; then connect the new software;
  • a process only takes a few hours a month; then the build does not pay for itself.

Frequently asked questions

What accounting firms ask me

Which processes can you automate at an accounting firm?

Mainly recurring work: requesting and chasing documents, processing purchase invoices, reminders and payment demands, preparing period closings and preparing client files. I start with one process that comes back often enough; in the free assessment we work out which process pays off first.

Does it work with Exact, Twinfield and our other software?

Exact Online I connect in production. Twinfield, Yuki, AFAS, Moneybird and SnelStart I connect through their API. If a package has an API or an export, I build on that, without you having to switch.

Is client data allowed to pass through this?

n8n runs in your own EU environment, with a data processing agreement. External services, such as an AI model, I record in advance per service. For sensitive documents, an open model can run on a server of your own.

How quickly is the first automation live?

In days. Build time is usually one to five days per flow, depending on the number of systems. After that, the flow first runs alongside with checks before it runs on its own.
