HubSpot automation: connect HubSpot to your forms, accounting and service
HubSpot has a built-in node and trigger in n8n. With them I connect contacts, deals and forms to your accounting, webshop and service desk, so follow-up does not stall and nobody retypes data.
StandardBuilt-in n8n integration
HubSpot automation: what you connect
- Form submissions as a contact with the right owner and source
- Won deals as a quote or invoice in your accounting
- Keep customer data in line with your webshop
- Tickets from HubSpot to your service desk, or the other way round
- Follow-up tasks for leads that stall
How the integration works
The HubSpot trigger responds to new or changed contacts and deals; the HubSpot node reads and writes them. I record the fields and the associations between contact, company and deal in advance. Everything runs in n8n on your own server, with logging and alerting.
Facts about the HubSpot API
Checked on 2 November 2026 against the official documentation. Limits, prices and versions change; the source is listed per row.
| Fact | What the documentation says | Source |
|---|---|---|
| Authentication | Bearer token. For your own integration: a service key (Development, Keys) with scopes, or an app on the developer platform. Legacy private apps can no longer be created since 26 October 2026. | HubSpot: Authentication overview |
| Token lifetime | OAuth access token 30 minutes. Service keys do not expire by themselves; HubSpot recommends rotating them every six months. | HubSpot: Manage OAuth tokens |
| Rate limits | Free and Starter: 100 calls per 10 seconds and 250,000 per day. Professional: 190 per 10 seconds and 625,000 per day. Enterprise: 1,000,000 per day. 429 when exceeded. | HubSpot: Usage guidelines |
| Webhooks | Yes, for contacts, companies, deals and tickets (creation, change, deletion). Up to ten retries within 24 hours, signed with HMAC-SHA256 (v3). | HubSpot: Webhooks guide |
| Test environment | Free developer test accounts (90 days). A real sandbox only with Enterprise. | HubSpot: Account types |
| Version | Date-based versions in the path, for example /crm/2026-09/. Versions v1 to v3 become unsupported in September 2027, v4 on 30 March 2027. | HubSpot changelog: legacy APIs |
| API cost | The API is included in all subscriptions, including Free. Higher limits and sandboxes in higher subscriptions. | HubSpot: Usage guidelines |
| n8n | Built-in HubSpot node and HubSpot trigger. n8n recommends a service key as the credential. | n8n documentation |
What you need on your side
- A super admin, or someone with Developer tools access, who can create a service key with the right scopes
- A fixed set of custom properties in HubSpot that matches the fields in your accounting package
- Knowing which HubSpot subscription you are on, because it sets the daily limit
- Access to the accounting package or helpdesk on the other side
Where it often goes wrong, and how I prevent it
- Field mapping: custom properties in HubSpot must match the fields in your accounting one to one.
- Associations: a deal belongs to a company and a contact. If that link is missing, the invoice lands with the wrong customer.
- Duplicate contacts: the integration first searches by email address before it creates a new contact.
- Limits: HubSpot limits the number of API calls. With large volumes, the integration works in batches.
In practice
The same approach as with Zoho CRM for Holos33: one place that decides source and owner, and an alert when a lead does not arrive anywhere. Read the case →
What it costs
I build a HubSpot integration as one scoped process for a fixed price, from €750. Maintenance and monitoring are a monthly fee: n8n management from €250 per month, server management €145 per server. In the free assessment we work out your process. All prices and what is included →
What I do not do
- I do not build HubSpot apps for the Marketplace; the integration is for your account.
- I do not use legacy private apps or the old API versions v1 to v3 for new integrations, because HubSpot retires them in 2027.
- You set up HubSpot workflows and reports yourself or with your HubSpot partner.
Frequently asked questions about HubSpot automation
Does n8n have a HubSpot integration?
Yes, n8n has a built-in HubSpot node and HubSpot trigger. That makes the integration faster to build.
Can a won deal become an invoice automatically?
Yes. The integration turns the deal into an invoice or quote in your accounting, with the right customer and lines. Exceptions go to a person.
Do I have to leave HubSpot for this to work?
No. HubSpot stays your CRM; the integration makes the systems around it keep up.
Does my existing private app still work?
Yes, existing legacy private apps still work, but new ones cannot be created since 26 October 2026, and HubSpot retires the old API versions in September 2027. A new integration is therefore built on a service key or an app on the developer platform.
What if HubSpot's daily limit is used up?
Then HubSpot returns a 429 on every further call until midnight in your account's time zone. The integration works in batches, tracks the counter and notifies you well before the limit comes into view.
