Every enquiry followed up, even in your busiest week

CRM automation means every enquiry is in your CRM within minutes, reaches the right person and gets a follow-up date. The fixed steps run automatically. The conversation, the price and the custom work stay with you.

Sound familiar?

Where enquiries leak away

  • The Friday afternoon enquiry

    is still in the inbox on Monday. By then the customer has already called someone else.

  • Quotes with no follow-up

    go out, and after that nobody hears anything. There is no date attached, so nobody calls.

  • A CRM you can't rely on

    with duplicate contacts, empty fields and leads without an owner. Reporting on it is guesswork.

It is rarely unwillingness. Other work simply gets in the way. According to HBR, 2011, research across 2,241 companies, only 37% of companies replied to an online enquiry within an hour.

How it runs

From enquiry to conversation, with nothing left waiting

The fixed steps run by themselves. The moment that counts, the contact with the customer, stays yours.

  1. Enquiry inThrough a form, email, ad or WhatsApp.
  2. CheckRequired fields, and does this contact already exist?
  3. Into your CRMWith source, owner and status.
  4. Confirmation and taskThe customer hears back within minutes; the owner gets a task.
  5. The conversationyou decideContent, price and custom work.
  6. Follow upNo reply to a quote? A reminder or a slot to call.

When in doubt, only that one record stops. If consent is unclear, the contact looks like a duplicate or the CRM rejects the update, the owner gets the reason and the details. Everything else keeps running. Every enquiry gets a fixed key, so a repeated notification does not lead to two emails or two contacts.

What I build

Three CRM automation flows that pay off most

Build time is usually one to five days per flow. One flow usually falls under a quick win (from €750). The full chain from form to meeting falls under CRM and lead funnel (€3,500 to €7,500). See the pricing page.

  • Enquiry to CRM

    Form, mailbox or ad into your CRM: fields checked, duplicates recognised, owner and source recorded.

  • Quote follow-up

    Every quote you send gets a follow-up date. No reply? Then a task or a draft email in your tone is ready.

  • A CRM that stays up to date

    Statuses, tasks and sources are kept up to date, and each week you see what came in and what was left waiting.

Proof

Built, measured and in use

Own practice case, measured

985 of 1,136 submissions on the wrong list

Forms, Zoho CRM, bookings and email seemed to work. One form rejected every submission for 25 days without a single error message. Now the chain closes end to end and checks itself every day.

Worked example

What manual follow-up costs you per year

  1. 10 enquiriesper week
  2. × 8 minutesto log and schedule
  3. × 46 weeksper year
  4. ≈ 61 hoursabout €3,680 at €60 an hour

Worked example, not a client result. In the assessment I replace every assumption with your numbers and count checks and exceptions separately.

When I would advise against it

Automation makes a process faster, even when it does not run well yet. In these cases you are better off starting somewhere else:

  • nobody uses the same stages or definitions in the CRM;
  • the origin of contact details and the consent behind them are unclear;
  • every enquiry needs substantive custom work straight away;
  • it is a few enquiries a month; then a good work instruction is simpler.

Frequently asked questions

About lead and quote follow-up

Does automatic follow-up make it impersonal?

No. The customer gets a timely confirmation with the right name and context. You have the real conversation, just sooner. Advice on content, price deviations and custom work are not sent out automatically.

Does this work with our current CRM?

Usually, yes. HubSpot, Pipedrive and Zoho CRM have a built-in n8n integration; Teamleader, Simplicate and other systems I connect through their API. In the assessment I first check fields, permissions and integration options.

Could a flow accidentally send two emails?

That risk comes from poor design. So every enquiry gets a fixed key, the flow checks the current status in the CRM before sending, and when in doubt it creates a task instead of an email.

When do I need AI for lead follow-up?

Only for a step where text has to be read, such as summarising or categorising an enquiry. Statuses, deadlines and integrations belong in a regular workflow. That is cheaper and easier to test.
